Tip #3 – Budget Breakdown – Know the Costs First, then Move On with Clarity & Confidence.

Once the guest list is roughly locked, the next big move is usually budget and venue — in that order, since the guest count directly drives venue capacity needs and per-head costs (catering, rentals, etc.).

  1. Set and finalize the budget — now that you know headcount, you can estimate costs realistically (most line items scale per guest).
  2. Pick a date range and venue — venues book out 9–18 months ahead in many areas, so this tends to be the next urgent step. Your guest count narrows which venues can even hold you.
  3. Book major vendors — photographer, caterer (if not bundled with venue) and band/DJ are usually the next to lock in, since the best ones get reserved early.
  4. Send Save-the-dates — once venue + date are confirmed, send these out so guests can plan around it.
  5. Attire, invitations, and smaller vendors (florist, cake, hair/makeup) — these can follow in the coming months.

A good rule of thumb: work backward from your date and book things roughly in order of how far in advance they get reserved — venues and photographers first, small-scale details last.

Many couples fall in love with a venue first and only later discover the real total. That often leads to painful cuts or debt. Knowing your realistic number first lets you look at venues with clear eyes and avoid the “we’ll figure it out later” trap.

  • Venue + Catering + Beverage: often 40–55%
  • Photography + Video: 10–15%
  • Music / Entertainment: 8–12%
  • Florals & Décor: 8–12%
  • Attire & Beauty: 5–10%
  • Stationery, favors, miscellaneous: 5–8%
  • Contingency: 10–15% (do not skip this)

Guest count is the single biggest cost driver. Every name on the list is a plate, a chair, a favor and often a drink. That is why Tip #2 (the Guest List) sits right before this one.

  • Get everything in writing. Verbal quotes change; contracts protect both sides.
  • Ask what is included versus extra. Service charges, corkage, cake-cutting fees, overtime and delivery can quietly add 15–25%.
  • Prefer vendors who have already worked your venue — they know the layout, the rules and the timing quirks.
  • Track deposits and due dates so nothing surprises you close to the event.
  • If one category runs over, look for offsets in lower-priority areas rather than simply increasing the total.
