Tip #9 – Final Countdown: Wedding Rehearsal and Last Checks. Then it’s the Big Event Day!
Tip #9 – Final Countdown: Rehearsal & Detail Day – Last Checks, then it’s the Big Day!
You’re almost there! This is the final week (or two) where everything you’ve meticulously planned finally converges. It is also the phase where a little extra diligence makes all the difference between a stressful scramble and a seamless, joyful celebration.
If you’ve followed along from Tip #1 – The Timeline!, all your hard work is about to pay off. Use this comprehensive wedding final countdown checklist to handle your rehearsal, confirm every detail and step into your wedding day completely stress-free.
Here’s What I’d Have on Your Radar:
1. The Wedding Rehearsal Checklist
Before the big day arrives, lock down your ceremony logistics:
- Walkthrough: Run through the ceremony flow with your wedding party, officiant and anyone with a speaking role or reading.
- Timing & Positioning: Practice your pacing, processional spacing, ring hand-off and final recessional exit.
- Final Walkthrough Document: Keep a printed copy of your wedding rehearsal checklist on hand, so everyone knows exactly where to be and when.
2. Vendor Confirmations & The Master Timeline
Avoid any miscommunication on the big day by locking down your schedules early:
- Vendor Confirmation: Send a final confirmation email to every single professional on your team—your venue coordinator, photographer, band or DJ and crucially, your catering team (refer back to Tip #5 – Catering and Menu to ensure dietary counts and service styles are locked).
- The Day-of Timeline: Distribute your official wedding day-of timeline to all vendors and key participants. This ensures everyone is working off the exact same clock from setup hours to the final send-off.
3. Final Headcounts & Financials
Tie up loose administrative ends so you don’t have to think about money on your wedding day:
- Final Headcount: Cross-reference your seating chart and double-check your guaranteed guest count (as outlined in Tip #8 – Seating Chart & Final Headcount) before submitting final numbers to your caterer and venue according to their contract deadlines.
- Settling Balances: Confirm that all final payments, tips and gratuities are organized in labeled envelopes ahead of time. Assign a trusted person to hand them out so you aren’t dealing with transactions during the event.
4. Designate a Point Person
You and your partner should be soaking in the moments, not answering logistics questions:
- Assign Control: Appoint a trusted friend, family member or professional coordinator as the primary day-of point person.
- Direct Questions Away: Ensure all last-minute vendor questions or guest inquiries go directly to your point person instead of you.
5. Pack Your Wedding Emergency Kit
Murphy’s Law loves a wedding day, but a well-stocked wedding emergency kit handles minor hiccups instantly. Pack a small tote bag with:
- Sewing kit, safety pins and double-sided fashion tape
- Tide to Go or instant stain remover wipes
- Pain relievers, antacids and personal medications
- Extra makeup, breath mints and blotting papers
- Portable phone charger and charging cable
6. Weather Contingencies & Backup Plans
If any portion of your ceremony, cocktail hour, or reception is outdoors, review your backup plan:
In Writing: Confirm your weather backup plan with your venue and vendors in writing—not just verbally—so everyone knows the exact trigger point and setup instructions if rain or extreme heat strikes.
7. Pack for the Send-Off & Night-Of
Don’t leave packing for the midnight hour:
- Overnight Bags: Pack your overnight bags, going-away outfits and items you’ll need immediately the next morning.
- Car Drop-off: Have a trusted groomsman or family member load these bags into a designated vehicle ahead of time so you can make a clean getaway at the end of the night.
