Tip #2 – The Guest List – The Foundation of All Your Budget Planning Starts Here!
Congratulations!
You’re ready to start planning your Wedding or Event.
Before you get into venues, dinner menus, bands or how many Bridesmaids and Groomsmen you’ll have — let’s start with the basics: who do you want there?
Each of you should sit down separately and write your own first draft. Don’t overthink it, just get names down. When you’re both done, swap lists and take a read. While you’re at it, do a rough headcount — that’s your starting point.
Once you’ve compared notes (a glass of wine helps) here’s what to think through as you refine your list:
- Do people have to travel far to attend?
- Are we covering anyone’s accommodations?
- Are children invited?
- Who’s in the wedding party?
- What date are we working toward?
- Are there venues near us — or near our guests — that could help?
- Does the venue provide services, or are we renting the space and catering everything ourselves?
It’s a lot to weigh, but don’t panic. Unless you’re planning to elope, I’ll walk you through it from here.
Once you’ve got a headcount, the real work is deciding how to trim it — because almost every couple starts with more names than their budget or venue can actually hold. Here’s a simple way to work through it:
- Split names into three groups — Must Invite, Would Like to Invite and If Room Allows. It sounds simple, but it forces the hard conversations early instead of the week before the wedding.
- Set a rule together and stick to it — like “immediate family and anyone we’ve seen in the last 2 years” — so cuts feel like policy, not personal choices.
- Decide on kids early. It changes your headcount, your catering order and sometimes your venue choice.
- Talk about plus-ones as a category, not person-by-person, so you’re not making exceptions on the fly.
- Remember: every name on that list is a plate, a chair, a favor, a drink and often a hotel room. Your guest list is your budget — get this number right and everything downstream gets easier.
Knowing your headcount handles the heaviest lifting of your planning journey. It directly dictates your venue size, catering costs, rental orders and your Master Timeline. Get a solid number anchored here and the rest of your choices get a lot less overwhelming.
Free Downloadable Guest List + Seating Planner
To make this process easier, I’ve created a free, pre-formatted Guest List + Seating Planner you can download and use right away. It’s an Excel spreadsheet designed for the three-group method above — and it also lets you assign table numbers on the same sheet so your guest list and seating plan stay together in one place.
What you’ll find inside:
- Columns for Name/Household, Category (Must / Would Like / If Room Allows), Plus-One, Children, Travel & Accommodation notes, Relationship notes, Wedding Party status, RSVP Status, automatic Headcount and Table # for seating assignments
- Automatic headcount calculation (person + plus-one)
- Live running summary that shows total headcount, names in each category, confirmed vs pending, plus-ones, children, wedding-party members and how many tables have been assigned
- A notes section where you can write the shared rules you agree on together (kids policy, plus-one policy, target max headcount, table-size notes, etc.)
- Sample rows already filled so you can see exactly how it works
- A second tab with clear instructions and the key tips from this page
- Set to print in landscape on a single page with narrow margins — nothing gets cut off
Just download it, open it in Excel or Google Sheets and start filling it in together. Print it if you prefer paper. The important thing is that you both have a clear, shared view of the list, the headcount and later the seating plan as it evolves — all on one sheet.
